This is an exciting new opportunity for a key individual to take full ownership of all external and internal client administration activities. If you are an experienced administrator with strong organisational skills and the ability to interact across a broad range of internal and external stakeholders, this is a great flexible role with a dynamic company.

Background

Since 2012 this business has worked across a broad range of clients to drive sales performance improvement, growth initiatives, change management, organisational development and operational efficiency.

As part of their growth and expansion strategy they have a requirement to strengthen the core administrative backbone of the business, creating a new opportunity for a key individual to take full ownership of all of external and internal client administration activities. This is an important role that will suit an experienced administrator with a strong organisational background and ability to interact across a broad range of internal and external stakeholders.

The role

Reporting to the Client Services Director, key responsibilities include:

Resource planning and administration, working across the account management team to ensure operational efficiency and effective utilisation of all staff.
General housekeeping and compliance management for the company project management portal, central filing (Dropbox) and company CRM solution (HubSpot).
New client “go-live” administration – all relevant onboarding administration and set-up of new clients.
Broader team administration including absence management, travel and expenses and general office/housekeeping tasks.
Support with monthly billings, late payments and internal reporting processes as required.
Management of all elements of client administration – a clear sense that everything is fully under control and organised.
Accurate and timely production of internal and external reports in appropriate and agreed formats.
Weekly, monthly and quarterly internal reporting and team meetings as required.
Ongoing personal development in line with Company programmes, standards and protocols.
Training and development of relevant staff to ensure they are able to adhere to Firestarter operational practices.

Personal Specification

Candidates will be expected to:

be driven, quick to pick things up, very focussed, passionate, flexible and have a great sense of fun.
demonstrate a solid track record of highly effective administration skills in previous roles.
be articulate, highly literate, numerate and grammatically accurate.
be confident presenting internally to team members.
have excellent computer skills, the ability to pick up software applications and ideally experience with project management software, CRM and time recording systems.
be able to work independently, unsupervised and to be able to interact confidently and comfortably with internal/external stakeholders at all levels of seniority.
be able to manage your own time and deal with conflicting priorities, display an ability to “get things done” and very strong working habits.

Salary and Terms and Benefits

It is envisaged that the initial working hours will be between 16 and 20 per week and can be organised flexibly to suit the candidate’s preferences so long as the role can be performed fully effectively. For the right candidate there is an opportunity for working hours and breadth of responsibility to increase over time.

Basic Salary: £25,000 to £32,000 FTE*, depending on experience, plus participation in annual company bonus scheme & relevant company commission schemes.

Location

The role will be mainly office based in Cheltenham (with some opportunity for home working).

*Full time equivalent – actual salary will depend on final hours agreed.
