Our client is a specialist supplier of professional commercial temporary drivers; an award-winning multi-million-pound business, serving haulage clients across the Home Counties and East Midlands, following a philosophy based on trust, professionalism, compliance, and outstanding customer service.

They are dedicated to adding value to their drivers and clients and raising standards in their industry.

Over the past 20 years they have grown from a small local operator to become a significant regional player with a 35-strong team.
They are now seeking an accomplished Executive Assistant to support the CEO and senior leadership team. This is a tremendous opportunity to leverage and develop your existing skill set across a broad range of support functions and provides an opportunity to progress your career as the company grows.

The Role

Reporting directly to the CEO, the role comprises:

PA to the CEO: Main point of contact for CEO; Daily organisation of CEO’s diary and schedule; travel & accommodation arrangements; expenses

SLT & board support: Book conference rooms and co-ordinate meetings with board members and senior leadership team; Co-ordinate and arrange all team meetings and conferences throughout the business, including Annual Conference; Minute and document meetings, distribute action points and next steps;
Arrange travel and accommodation for SLT

HR administration: HR Administrator for company HR platform; Contribute to a high-quality HR function; Respond quickly and effectively to HR issues raised by staff; Maintain accurate and up-to-date personnel files, and audit periodically; Consult with employment solicitor on complex HR issues.

Internal recruitment: Assist with internal recruitment – placing adverts and assisting with job descriptions; Co-ordinate engagement and employment contracts; Co-ordinate on-boarding and induction for new team members

Staff performance, capability and training: Drive the performance review process; Log training and capability development, and maintain the professional competency tracker.

Staff wellbeing: Manage company Healthcare scheme – Administrator of Health Care scheme – AXA Health; Roll out the Mental health & Wellbeing programme

Staff reward and recognition programme: Track staff anniversaries and co-ordinate staff rewards; Track staff birthdays and coordinate and send out birthday cards

Provide operations support: Maintain office rental agreements and licences; General insurance – maintain and update insurance documents and track all claims; Expedite professional accreditations; Review professional memberships and track renewal dates

Asset management: IT asset management – meticulous maintenance of the IT asset register; Order laptops and mobile phones and set up for new starters; Co-ordinate telephony solutions for the business

Marketing support: Co-ordinate awards ceremonies; Provide input for the company’s internal newsletter; Order branded office collateral – headed paper, business cards, timesheets; Provide support with ordering and distribution of PPE to branches; Distribute orders of sales collateral to branches

The candidate

Key Skills and Attributes:

• Have excellent organisational, time management and administrative skills
• Be assertive and an excellent communicator with exemplary diplomatic skills
• Operate with high integrity and demand the highest standards at all times
• Be numerate, have excellent literacy skills and good IT skills
• Experience as an HR assistant would be valuable as would be a CIPD Level 3 qualification
• Event and conference management experience would be an advantage

Terms

Hours – Ideally a min of 25 hrs/week spread over 5 days, based at the Company office in Stevenage.
Salary – Base salary of £36,000 to £38,000 per annum (pro rata to hours worked), depending on your experience and proven skills set.

On-Target Bonus of £1,500 per annum (pro rata to hours worked), paid at 100% if you meet agreed expectations for the role.
