The Role

The Sales Administrator / Compliance Assistant will support the resourcing team and the COO in all matters pertaining to Candidate and Contractor Management. Reporting to the COO, they will be responsible for ensuring the database’s accuracy with regard to all jobs and placements. They will also be responsible for general oversight of the company database ensuring that records are updated accordingly, reports can be generated accurately and general adherence to Company policies.

Core Responsibilities will include:

-Responsible for the end-to-end onboarding process for Candidates and Contractors.
-Ensure all necessary compliance documentation and contracts are gathered and appropriately stored to adhere to external legislation, internal company process and Client requirements (e.g background check information and references).
-Assist on Candidate contract issues, escalating to the COO where necessary.
-Liaise with Clients to ensure a smooth onboarding process for Candidates and generally being the first point of contact for Candidates to help them with the onboarding process.
-Communicate with Candidates and Clients regarding Contractor timesheets, pay, schedule and statement of work queries.
-Monitor IR35 Assessments and assist the COO where necessary on any IR35 related matters.
-Manage Client Assignment Schedules ensuring consistency across all placement documentation.
-Monitor all existing placements to ensure correct end dates, extensions and timesheet submissions. Ensure updated IR35 Assessments are sent out where necessary and provide updated/amended schedule and SOWs where required.
-Be able to provide some specialist knowledge of recruitment legislation including IR35, KIDs and Conduct Regulation Information which can be relayed to Contractors.
-Monitor AWR timescales and work with End Clients to provide AWR information to Umbrella Companies where appropriate.
-Management of the Experian and SignRequest portals.
-Identify weaknesses or potential issues in any Company compliance process and work with the COO to improve.
-Work with finance team and assist the COO to resolve any Candidate / Contractor payment issues.
-Ad-hoc duties for the COO and Company Directors.
-Formatting CVs and Company Documents to a high standard for presentation to clients.
-Research duties.

The Person

You’ll be an experienced administrator, ideally this will have been gained in a sales, compliance, recruitment or financial services sector. You’ll ideally have the following skills or experience;

-Strong administration experience and process driven.
-Excellent IT Skills particularly in Microsoft Office software and LinkedIn. Previous experience working in a database is preferred but not essential as training will be provided.
-It would be helpful if you have some knowledge or understanding of legislation in the recruitment sector (such as AWR, Conduct Regulations and IR35).
-Excellent written and verbal abilities.
-Very high attention to detail and good analytical abilities.
-Highly communicative and can work in a fast paced team.

Terms

-Hours; c25-30 hours per week depending on candidates preferred working patterns. Hours must be worked across Monday – Friday. E.g 9am-3pm per day, or 930am-230pm (other patterns considered).
-Monday and Friday are core days to work, with every other Monday to be worked in the London office, the remaining hours can be worked remotely. From time to time there may be the additional team meeting to attend in person, although this will be rare.
-Salary: c£32k FTE* (dependent on experience) pro-rated down for part-time hours.
-Holiday allowance: Unlimited holiday allowance
-Pension: Company contributions on completion of probation
-Other benefits: Bonus based on personal delivery and company results.
